Northern Box Bar Ltd Company Terms and Conditions:

  1. Booking and Contractual Agreement:

Upon confirming a booking, these terms and conditions create a legally binding contract between Northern Box Bar Ltd (the company) and The Client (the client). Failure to comply with these terms may result in the company withdrawing services or imposing additional charges to cover reasonable costs or revenue losses.

  1. Definitions:

  • ‘Company’: Refers to Northern Box Bar Ltd, its subcontractors, or agents.
  • ‘Client’: Refers to the person hiring equipment or services from Northern Box Bar Ltd.
  • ‘Period of Hire’: Indicates the time from installation to collection by the company.
  • ‘Deposit’: The amount paid to secure the booking.
  • ‘Minimum Spend’: An agreed income covering overheads, with the client responsible for any shortfall.
  • ‘Package/packages’: Optional additional services for pay bars, such as reception drinks or table wine.
  1. Payment:

  • Payments and/or deposits should be made upon booking the company’s bar service.
  • Refundable deposits will be returned based on qualifying factors confirmed by the Bar Manager.
  • Clients may be required to commit to a minimum spend based on the event’s size and location.
  • If a package is selected, its value will be deducted from the minimum spend.
  • Additional packages’ costs will be provided in a quote valid for 30 days.
  • A 25% deposit is required to confirm the booking, and full payment is due 30 days before the event.
  • Bookings made three months or less before the event require a 50% deposit.
  • Payments can be made via bank transfer.
  1. Consumption of Alcohol:

  • Guests must purchase drinks from the provided bar, and no other drinks are allowed at the venue.
  • Arrival drinks arranged by the client are permitted during the pre-meal period, with prior notice to the company.
  • Table wine and other table drinks arranged by the client are allowed during the meal only, with prior notice to the company.
  1. Licensing:

  • The company operates the client’s bar in accordance with the licensing act 2003.
  • A licensed venue is required to sell alcohol; if no license exists, the bar will not open.
  • The company has a strict policy on underage drinking and may request photo identification.
  • The company reserves the right to refuse alcohol to intoxicated or abusive guests.
  1. Access:

  • The client must ensure the company has access to the venue for bar equipment installation.
  • Any access restrictions must be communicated to the company at least 14 days before the event.
  1. Cancellation:

  • Bookings are non-refundable upon cancellation.
  • If the event is cancelled without prior notice, a charge of £500.00 will be applied.
  • Infectious diseases (e.g., Coronavirus) are not accepted as reasons for cancellation, but monies can be carried over to an alternative date for postponement or cancellation.
  1. GDPR and Privacy Notice:

  • Northern Box Bar Ltd acts as the Data Controller for personal data provided during the booking process.
  • Personal data collected includes name, address, email, phone number, event details, date, location, guest numbers, and catering requirements.
  • Data processing is necessary to administer the booking and provide the contracted services.
  • Clients may have consented to receive marketing communications, which can be revoked by contacting hello@NorthernBoxBar.co.uk.
  • Personal data from non-clients will be stored for eight weeks after an event and then securely destroyed.
  • Personal data may be transferred outside the UK with appropriate safeguards in place.
  • Personal data is retained for the duration of the client’s association and securely destroyed after four years of inactivity.
  • Data subjects have rights to access, rectify, erase, restrict processing, data portability, and complain to the Information Commissioner’s Office.
